Purpose

The List Templates feature allows users to create one or more templates to prefill line items in the Tasks, Jobs/Quotes, Bids, Tickets, Files, Bills, Contract Items, or POs modules quickly and automatically. This feature helps ensure all items are added consistently and saves time by efficiently populating lists.

Template List

Element Description
Search Search field above the Templates list to filter by name.
Template List Displays a list of current templates.
"+" Icon Adds a new template.
"🗑️" Icon Delete the selected template.

Options Section

Field Description
List Name Customizable name for the template.
Description/Scope/Instructions Multi-line free text used to auto-populate a default description.

Assigned Panel

A separate panel to the right of Options. Lists specific Users to pre-assign; use the + icon to add a User and the trash icon to remove one. Appears for every module except Files and Tasks — Tasks instead has its own per-line Assigned column in the Items table below (see Module-Specific Features).

Module Selection

A single-select field — each template is available in exactly one module at a time, not multiple simultaneously:

Module Availability
Tasks Available on the Tasks tab of applicable records.
Jobs/Quotes Available in Job or Quote records on the Items tab.
Bids Available in Bid records.
Tickets Available in Ticket records.
Files Creates a folder template (each line item becomes a folder).
Bills Available in the Bills module on the Items tab.
Contract Items Available on a Contract's Items tab.
POs Available in Purchase Orders on the Items tab.

Module Specific Features

The Items table's columns change based on which Module is selected for the template.

Tasks

Column Description
Item Description Used to automatically populate the Task's description.
Assigned Per-line column to pre-assign a User to that specific Task item. (Tasks is the only module where Assigned is a per-line Items-table column rather than the side Assigned panel.)

Jobs/Quotes, POs, and Bids

These three modules share the same Items table column set.

Item Description The line item description.
Catalog Links the line item to a Catalog item (shown as ID | Brand | Model | SKU).
Price The line item price.
Cost Code The Cost Code to assign to the line item.

Tickets

Column Description
Item Description The line item description.
Catalog Links the line item to a Catalog item.

Files

Column Description
Item Description Used to name the folder created by this template item. No other columns are available for this module.

Contract Items

Column Description
Item Description The line item description. No other columns are available for this module.

Bills

Column Description
Item Description The Bill line item's default description.
Cost Code / Class Stacked sub-fields for the line item's Cost Code and Class.
Catalog / G/L Stacked sub-fields — links the line item to a Catalog item and/or a G/L (ledger) account.
Price The Bill line item's price.

Workflows

Create a Template

  1. Navigate to Company Preferences > List Templates.
  2. Click the "+" icon in the Templates section.
  3. Enter a List Name in the Options section.
  4. Select the module where the template will be available.
  5. Add line items using the "+" icon in the Item Description section.
  6. (Optional) Reorder items by changing the order numbers.

Delete a Template

  1. In the List Templates setup module, locate the desired template.
  2. Click the "🗑️" icon next to the template name.

Add List Templates to Records

  1. Navigate to the desired module (Tasks, Jobs/Quotes, Bids, Tickets, Files, Bills, Contract Items, or POs).
  2. Select a record and go to the appropriate tab (Tasks or Items).
  3. Click the "⚙️" icon and choose Load Template.
  4. Select the desired template from the list.
Note: For Jobs/Quotes and Estimates, only the item name will load. No pricing or quantity information is included when using List Templates.

Creating & Managing Templates

  1. Navigate to Gear Icon > Company > List Templates.
  2. Click the "+" icon in the Templates section.
  3. Enter a descriptive List Name in the Options section.
  4. Select the module where this template should be available.
  5. Click the "+" icon in the Item Description section to add line items.
  6. Configure each line item with description, product, pricing, or other fields as needed.

Yes, you can edit any existing list template:

  1. Navigate to Gear Icon > Company > List Templates.
  2. Select the template you want to modify from the Template List.
  3. Update the template name, module availability, or line items as needed.
  4. Changes are saved automatically.
Note: Changes to templates do not affect records that have already loaded the template.

Using Templates

  1. Open the record where you want to add template items (Jobs/Quotes, Bids, Tickets, Bills, Contract Items, or POs).
  2. Navigate to the appropriate tab (Tasks or Items).
  3. Click the gear icon on the tab.
  4. Select Load Template from the menu.
  5. Choose the desired template from the available list.

For Jobs/Quotes and Estimates, list templates only load the item description. Pricing, quantities, and other financial details are not included when loading templates. This is by design to ensure pricing accuracy and prevent outdated costs from being applied automatically. After loading the template, you'll need to manually enter or update pricing for each line item.

Yes, you can load multiple templates into the same record. Each time you load a template, the items are added to the existing list rather than replacing them. This allows you to combine different templates for comprehensive task lists or line item collections.

Module-Specific Questions

Folder templates create a standardized folder structure in the Files tab of records. When you select the Files checkbox for a template:

  • Each line item becomes a folder name.
  • Loading the template creates all folders automatically.
  • This ensures consistent document organization across all your Jobs, Contracts, or other records.

Yes, for Task templates you can pre-assign users to each task item. Use the Assigned field when configuring template line items to specify which user should be automatically assigned when the template loads. This is helpful for establishing standard workflows where specific team members always handle certain tasks.

A template is only available in the single module it's set to. Check the following:

  1. Navigate to Gear Icon > Company > List Templates.
  2. Select the template from the list.
  3. Verify the Module field shows the module you expect the template to appear in.
  4. If it shows a different module, update it and save your changes.
