Purpose
The Checklists module allows you to create and configure checklist templates for your team to review and sign off for completion. Checklists can be used in a variety of applications across the system for quality control, compliance verification, inspections, and process standardization.
Module Availability
Checklists are available across multiple modules in the TRUE system
Each module can have independently configured checklists tailored to specific workflows:
Note: Most modules that support checklists show a checklist icon in the bottom-right icon row of the selected record. Clicking it opens a Checklist Option dialog to Jump to an existing checklist or start a New one from an available template.

Template Sections

Configure required signatures for checklist completion and approval:

Note: On the applied checklist (the record filled out for sign-off), clicking a signature line prompts Upload signature or create signature? with Create, Upload, and Cancel options.
Configure the individual checklist items that users will complete:

Applied Checklist (Selected Record View)
What a checklist looks like once it has been added to a record
Once a checklist template is added to a record (e.g., a Quote, Job, or Vehicle), it opens as its own selected record with a Details tab and an Items tab. Shown below from a Quote record, but the same layout applies across all supported modules.

Common questions and step-by-step guidance for using checklists
Creating Checklists
To create a new checklist template:
- Navigate to the module where you want the checklist available (e.g., Vehicles, Jobs).
- Access the checklist configuration area for that module.
- Click the + icon to create a new checklist template.
- Enter a Name for the checklist.
- Add Instructions if users need guidance.
- Configure Stages for tracking completion status.
- Add Items for each task to be completed.
- Add Signatures for required sign-offs.
- Save the template to make it available in the module.
To attach a checklist to a record:
- Open the record where you want to add a checklist (e.g., a specific Quote, Job, or Vehicle).
- Click the checklist icon in the bottom-right icon row.
- In the Checklist Option dialog, click New to create one from an available template (or Jump to open a checklist already linked to this record).
- The checklist opens as its own record, linked back to the source record.
Items & Signatures
To add and organize items:
- Open the checklist template in edit mode.
- Navigate to the Items section.
- Click the + icon to add a new item.
- Enter a clear Description of the task or verification.
- In Category, type an option and press Enter (Windows) or Return (Mac) to add each additional dropdown option (e.g., Pass/Fail/N/A).
- Adjust the Order numbers to arrange items in the desired sequence.
- Repeat for all items needed in the checklist.
To require signatures:
- Open the checklist template in edit mode.
- Navigate to the Signatures section.
- Click the + icon to add a signature requirement.
- Enter the Acknowledgement text (what the signer is confirming).
- Enter the Signatory Role (who should sign).
- Add additional signature lines for multiple approvers if needed.
Tip: Enable Allow Custom Signatures in Details if you need flexibility for ad-hoc signers not pre-defined in the template.
Using Checklists
To complete a checklist:
- Navigate to the record with an associated checklist.
- Click the checklist icon in the bottom-right icon row, then Jump to open the linked checklist.
- Review the Instructions if provided.
- Go through each item and select the appropriate Category (e.g., Pass, Fail, N/A).
- Update the Stage as you progress through the checklist.
- Provide any required Signatures for sign-off.
- Save the checklist to record the completion.
Stages allow you to track the progress and status of a checklist:
- Stages are fully customizable and defined in the checklist template's Details section — there is no preset list.
- In the Stage field, type a stage name and press Enter (Windows) or Return (Mac) to add each additional stage on its own line.
- Users select the current stage from a dropdown when working on the checklist.
- Stages help managers and supervisors quickly identify checklist status across multiple records.
Common Use Cases
Vehicle inspection checklists help ensure fleet safety and compliance:
- Create a checklist template in the Vehicles module.
- Name it appropriately (e.g., "Daily Pre-Trip Inspection").
- Add items for each inspection point (tires, lights, brakes, fluids, etc.).
- Set categories like "Pass", "Fail", "Needs Attention".
- Add a signature line for the driver's acknowledgement.
- Optionally add a supervisor signature for failed inspections.
Onboarding checklists ensure consistent new hire processes:
- Create a checklist template in the Personnel or Applicants module.
- Add items for each onboarding task (paperwork, training, equipment issued, etc.).
- Set stages like "Day 1", "Week 1", "30-Day Review", "Complete".
- Add signature lines for HR acknowledgement and employee confirmation.
- Attach the checklist to each new hire's record.
