Purpose

Message Templates allow users to configure multiple message layouts for various modules across the system, promoting consistency and ease of use when exchanging text message communications. Templates can include merge fields that automatically populate with record-specific information when messages are sent.

Column Headers

Column Description
NAME The name of the message template.

Message Template Detail View

Details Section

Field Description
Name Enter the name for the template as it should appear in the list.
Module Select from the drop-down field where this template should appear.
Body Enter the message body to auto-populate when using this template.

Merge Fields Section

Merge Fields are special placeholders that can be inserted into the message template. They are automatically replaced with specific information when the message is sent. Available fields are shown in the Merge Field Options (Click to Copy) panel to the right of the Body field — select the Module first to load that module's fields, then click a field name to copy it, and paste it into the Body using the format <<Field_Name>>.

Note: Email Templates supports more modules (10, including Clients, Bids/CO Request, Contracts, Purchasing, and Shipping) than Message Templates (5). Where a module is supported by both, Message Templates has a narrower merge-field set — some Email Templates fields (e.g., Financing_Application_URL, Email_Capture on Quotes) don't apply to a text message and are omitted here. Note: Can't find the field you're looking for? If the field exists in TRUE within the module, new merge fields can be added. Use the "?" Icon > Request Support to submit a feature request for a new merge field.

Using Message Templates

Using Templates with eForms

  1. Navigate to the eForm you want to send via message.
  2. Select the eSign button and click Generate Link.
  3. Locate and select the Message Template option in the pop-out menu.
  4. Choose the desired template from the drop-down list.
  5. Make any additional changes and press Send.

Using Templates with Notify Contact / Notify Lead / Notify Client

The notify button's name depends on the module: Notify Contact (Contacts module, Actions button), Notify Lead (selected Lead record), or Notify Client (Quotes/Jobs).

  1. Navigate to the record you'd like to use a message template (IE: Contacts, Leads, Quotes, Jobs).
  2. Select the module's notify button — Notify Contact, Notify Lead, or Notify Client.
  3. Click the Text option.
  4. Locate and select the Message Template field in the pop-out menu.
  5. Choose the desired template from the drop-down list.
  6. Make any additional changes and press Send.

Important Notes

  • Message Templates can be modified at any time by navigating back to the template within the module.
  • The Merge Fields list auto-populates once you select the appropriate module type in the message template.
  • Deleting Message Templates is irreversible and can be done by any person with access to the module.
  • You can request support to add new merge fields to specified modules if needed.

Creating & Managing Templates

  1. Navigate to Gear Icon > Company > Message Templates.
  2. Click the "+" icon to create a new template.
  3. Enter a descriptive Name for the template.
  4. Select the Module where this template will be used.
  5. Compose your message in the Body field.
  6. Insert merge fields as needed from the available list.

Yes, you can edit any existing message template:

  1. Navigate to Gear Icon > Company > Message Templates.
  2. Select the template you want to modify from the list.
  3. Update the name, module, or body content as needed.
  4. Changes are saved automatically.

  2. Click the trash icon next to the template you want to remove.
Warning: Deleting a message template is permanent and cannot be undone.

Merge Fields

Merge fields are placeholders that automatically populate with record-specific information when the message is sent:

  1. First, select the Module for your template to load available merge fields.
  2. Position your cursor in the Body where you want the field.
  3. Click on the desired merge field from the list to insert it.
  4. The merge field appears as a placeholder (e.g., <<Client_Name>>) and will be replaced with actual data when sent.

Email Templates support a broader set of modules and a wider merge-field set per module — see the Email Templates article if you are working with email templates instead of text message templates.

Yes, if the field exists in TRUE within the module, new merge fields can be added:

  1. Click the "?" icon in TRUE.
  2. Select Request Support.
  3. Submit a feature request specifying the module and field you need as a merge field.

Using Templates

  1. Navigate to the eForm you want to send via text message.
  2. Click the eSign button and select Generate Link.
  3. In the pop-out menu, locate the Message Template option.
  4. Choose your template from the drop-down list.
  5. Make any additional edits to the message if needed.
  6. Press Send to deliver the text message with the eForm link.

Both support merge fields but are configured separately and used in different communication channels.
