Purpose
Facilities are physical locations—offices, warehouses, shops, branches—with GPS coordinates used for inventory management, personnel location tracking, and geofencing integration with time clock. They represent where your company operates physically, enabling location-based compliance reporting, multi-site inventory storage, and personnel assignment to primary work locations.

Facilities are created through the Locations menu in Settings and can include GPS coordinates for geofencing.
- Click Gear Icon (Settings) in upper right
- Select Locations from menu
- Click Add Facility button
- Enter Facility Name (e.g., "Main Office - Chicago")
- Enter Address (enables GPS coordinates)
- System automatically geocodes address for GPS integration
- Create Bins/Locations within facility for inventory organization
- Click Save
Tip: Always enter complete addresses for facilities to enable GPS geofencing. This allows TRUE to track location compliance when workers punch in/out via TRUE Time app.
Facilities with GPS addresses enable location-based compliance reporting for time clock punches, helping verify workers are at expected locations.
GPS Geofencing Workflow:
- Facility created with complete address (GPS coordinates generated)
- Worker punches in/out via TRUE Time app
- App captures worker's GPS location (if permissions granted)
- System compares worker location to job site or facility GPS coordinates
- If outside expected radius, punch is flagged in GPS Compliance Report
- Supervisor reviews flagged punches during time review process
Important GPS Behaviors:
- Non-Blocking: System does NOT prevent punches from wrong locations
- Optional: Workers can deny GPS permissions and still punch in/out
- Reporting Only: GPS data generates compliance reports for supervisor review
- Flexibility: Allows legitimate off-site punches (office, shop, alternate locations)
Note: Supervisor receives notice during payroll process: "This person punched out outside the job site address location." This enables review and investigation rather than automatic rejection of the punch.
Personnel are assigned to facilities through their Personnel records, establishing their primary work location for organizational tracking.

- Open the employee's personnel record
- Click Advanced button to reveal additional fields
- Locate the Facility dropdown field
- Select the appropriate facility from dropdown
- Click Save

Bins and locations are organizational subdivisions within a facility used for inventory storage and material tracking.
Bins and Locations Purpose:
- Inventory Organization: Track materials by specific storage location
- Warehouse Management: Organize warehouse into zones, aisles, shelves
- Picking Efficiency: Direct workers to exact location for material retrieval
- Cycle Counting: Conduct physical inventory counts by location
Common Bin/Location Examples:
- Warehouse: "Aisle 3 - Shelf B", "Zone A", "Bin 125"
- Shop: "Fab Station 1", "Tool Crib", "Scrap Bin"
- Office: "Storage Room", "Supply Closet"
Tip: Bins/locations are primarily used for Materials and Equipment module inventory tracking. They are optional and not required for time tracking functionality.
Facilities and divisions serve different purposes and are used in different contexts within TRUE.
Facility (Physical Location):
- Purpose: Physical location management and inventory storage
- Used For: Inventory management, GPS geofencing, personnel location assignment
- Example: "Main Office - Chicago", "Warehouse DC", "Branch Office - Atlanta"
- Workers assigned to: Facilities as their primary work location
Division (Department/Organizational Unit):
- Purpose: Organizational structure and cost center tracking
- Used For: Time clock overhead tracking, personnel assignment, GL allocation
- Example: "Office Department", "Field Operations", "Pre-Construction"
- Workers punch into: Divisions for non-project overhead time
Note: A worker can be assigned to both a facility (for physical location tracking) and a division (for department tracking) in their Personnel record.
Facilities can be disabled system-wide through Company Preferences if your organization operates from a single location or doesn't need GPS tracking.
- Navigate to Settings (Gear icon) → Company Preferences → Miscellaneous section
- Locate Enable Facilities toggle
- Uncheck to disable facilities system-wide
- Click Save
Important: Disabling facilities removes location tracking, GPS compliance, and inventory location features. Only disable if you're certain your company doesn't need multi-location management.
Facilities can be viewed and assigned across almost any module in Jobs and Contracts workflows for location-based categorization.
Common Facility Assignment Locations:
- Personnel Records: Assign employee's primary facility location
- Materials Module: Store inventory at specific facilities

Configuration & Administration
Access to the Facilities module is controlled by a specific module access permission that must be enabled for your user account.
To access Facilities, your administrator must enable the following permission in Users / Access:
