Purpose
The Passwords module allows users to save common company passwords and login information for items such as WiFi, QuickBooks, and other shared resources. Create, edit, and delete saved credentials in TRUE, and set record access for individual users to control who can view sensitive information.

Common operations for managing password records
Managing Passwords
- Click the green + icon next to the search bar
- A new blank record will be created
- Fill in the desired information in the Details fields
- Select a password record from the list
- Modify the information in the Details section
- For websites, use the globe icon to open the URL in a new window
Control which users can view specific password records:
- Find the desired password record
- Click the ≡ hamburger icon and select Record Access
- In the user list, click the green lock icon next to a user's name to deny access
- The lock will turn red; click the green Confirm button to save changes
- Select the password record
- Check the Archive box
- Archived records can be viewed by clicking the Archived filter next to the search bar
- Click the ≡ hamburger icon next to the password record
- Select Delete

General Usage
Use the Record Access feature to control visibility:
- Create or select the password record
- Click the ≡ icon and select Record Access
- By default, all users with module access can view the record
- Click the green lock icon next to users who should NOT have access
- Click Confirm to save the access restrictions
While there is no formal tagging system, you can organize passwords using:
- Description field: Use consistent naming conventions (e.g., "WIFI - Office", "QuickBooks - Admin")
- Remarks field: Add category notes or additional context
- Search: Use the search bar to quickly find related passwords
The Passwords module does not include built-in expiration tracking. To manage password updates:
- Use the Remarks field to note when passwords should be updated
- Create Tasks for periodic password reviews
- Use the Other field to record last update dates
Password records don't have individual ownership - access is controlled at the module and record level:
- Any user with module access can edit password records (unless restricted via Record Access)
- To restrict editing, use Record Access to control who can view and modify the record
- Administrative users can manage access permissions for sensitive passwords
The Passwords module does not include a built-in password generator. To create secure passwords:
- Use an external password generator tool
- Copy the generated password into the Password field
- Store any security requirements or generation notes in the Remarks field
For security reasons, the Passwords module does not include an export feature. Password data remains securely stored within TRUE. If you need to backup credential information, work with your system administrator to ensure proper data protection protocols are followed.
Configuration & Administration
Access to the Passwords module is controlled by user permissions. If you cannot see or access this module:
- Contact your system administrator
- Request the Module Access (Passwords) (ID #12) permission
- Once granted, you'll find the module in the Quick Actions menu (lightning bolt icon)
Note: Administrators can manage permissions in Settings → Users / Access → select user → Access tab.
Beyond module access, the following security permissions control specific actions within the Passwords module.

Note: The Modify Record Access permission is particularly important for the Passwords module, as it controls who can set viewing restrictions on sensitive credential records. Without this permission, users cannot change the Record Access settings on password entries.
