Purpose

The Reviews module enables workflow approvals across various modules in TRUE. Users can request reviews from manager-level users for different processes, supporting approval workflows for Leads, Quotes, Jobs, Bids, and Contracts.

Frequently Asked Questions

Creating Reviews

Most users generate reviews directly from a record in TRUE:

  1. Navigate to a record in TRUE that has access to Reviews (such as a Lead, Quote, Job, Bid, or Contract).
  2. Select the Reviews icon from the record.
  3. In the Reviews module, click the "+" icon.
  4. You will be prompted to automatically associate the review with the record you came from.
  5. Enter your review details and assign users for approval.

Reviews support approval workflows for the following modules:

  • Leads - Review lead qualification before conversion
  • Quotes - Approve pricing and terms before sending to customer
  • Jobs - Review job setup and scope before starting work
  • Bids - Approve bid submissions for commercial projects
  • Contracts - Review contract terms and conditions before execution

Managing Reviews

  1. Open the Reviews module from Quick Actions.
  2. Select the My Reviews or Open tab to see pending reviews.
  3. Click on a review to view its details.
  4. Review the associated record and any notes provided.
  5. Click Approve to accept or Cancel to reject the review.
  1. Open the review you want to modify.
  2. In the Assigned section, click the "+" icon.
  3. Select the additional users you want to assign.
  4. The new reviewers will be notified and can take action on the review.

Each review maintains a complete Activity Log that tracks:

  • Date - When each action occurred
  • User - Who performed the action
  • Activity - Description of what was done

You can also access historical review data using the Legacy feature for older records.

Configuration & Administration

Reviews are typically assigned to manager-level users who have the appropriate permissions. Users must be explicitly assigned to a review to take approval actions. The person who creates a review selects which users should be assigned to approve it.

  1. Open the completed review you want to archive.
  2. In the Details section, check the Archive checkbox.
  3. The review will be moved to the archived state and hidden from the default view.

To view archived reviews, toggle the Archive filter in the List View.

Access to the Reviews module requires the following permission enabled by your system administrator:

Permission ID Description
Module Access (Reviews) (ID #71) User can access the Reviews module via the Settings menu.

Contact your system administrator to request access in Settings > Users / Access > select user > Access tab.

The following security permissions control what users can do within the Reviews module:

New Reviews (ID #72) User can create reviews.
Delete Reviews (ID #74) User can delete reviews.
New Review Entries (ID #77) Allows user to add new activity log entries for a review.
Approve Review (ID #204) Allows a manager to approve a review.
Modify Record Access (Reviews) (ID #251) Can modify which users can view a record in this module.
Restrict Search Results to Authorized Modules Only (Reviews) (ID #547) This will deny a user from seeing search results unless the user has access to the module they just navigated here from.
View Assigned Only (Reviews) (ID #548) This will deny user from seeing records unless they're specifically assigned to them.
Cancel Review (ID #576) Allows user to cancel a review. This allows approved reviews to be reopened.

Note: Permissions are managed per user in Settings > Users / Access > select user > Access tab. Search for "Reviews" to quickly locate all related permissions.
